This person will support the Chair’s Executive Assistant to ensure the provision of a consistent service to The Chair, and also provide a proactive service supporting the SJP related activities of the Group’s Non-Executive Directors (NEDS). This role requires a professional and experienced PA who is skilled at working with senior Stakeholders and comfortable working from our London offices.
What you’ll be doing:
Chair’s office
- Ensure the Chair’s office is covered during absence of Chair’s EA.
- Prepare information, book travel and manage meeting room logistics for Chair, as required.
- Support the EA to diarise 1:1s between the Chair and NEDs, and any other associated tasks.
Board/Committee Support
- Be present in the relevant SJP office for Board and Committee meetings to ensure NEDs are appropriately greeted and supported.
- Check/respond to NED requirements for additional meeting rooms/desk bookings at SJP offices.
- Respond to requests from Company Secretariat and others for NED availability and logistical information.
NED support
- Assist with confirming NED availability for Partner Appeal panels.
- Support Company Secretariat with induction process for new NEDs.
- Booking NED meetings as required.
- Provide administrative support to NEDs for their SJP roles in a timely manner.
- Working with the IT Department to facilitate IT issues/requests.
- Co-ordinate NED holiday/leave dates and keep Company Secretariat updated.
- Maintain relevant NED documentation.
Who we’re looking for:
- A track record of working with senior Executives or board level Directors.
- Excellent verbal and written communication skills.
- Strong time management, planning and organisational skills.
- Proven experience with Microsoft office applications and SharePoint.
- Understanding of how boards and NEDS work together advantageous.
- A ‘can do’ attitude, engaging positively and effectively with others.
- Confidentiality and discretion are essential.
