Job Description

This is an exciting opportunity to work closely with a Director job-share and Senior Leadership Team  in the Civil Society and Youth Directorate as a Business Manager.

The successful candidate will manage the operational function across the directorate, provide cross cutting policy support to teams, and provide day to day support for the Directors.

The Business Manager will work  closely with the senior leadership team and business partners to ensure the directorate’s  operational function is well managed. They will provide directorate wide policy support on coordinating cross cutting briefings, parliamentary questions and visits. They will also provide diary and inbox management for Directors, and ensure they have all  the information needed to prepare for meetings. 

This is an interesting and wide ranging role, where you will be expected to be flexible to support the senior leadership team and the wider directorate. The role offers the opportunity for significant interaction with senior leaders and external stakeholders. You will work directly to the directorate Senior Business Manager. 

The successful candidate should be able to demonstrate experience of managing a varied workload, prioritising effectively and the ability to manage multiple tasks concurrently.

Job description

Operational management:  

  • Managing workforce planning and monitoring the directorate’s headcount. Ensuring that HR management information is accurate and kept up-to-date.  
  • Ownership of Senior Management Team and Senior Leadership Team  governance
  • Coordinating the operational elements of  Business planning and responses to fiscal events
  • Leading the departmental rewards and recognition process for the directorate
  • Leadership of the Executive Assistant cohort in the directorate
  • Oversee L&D budget and own the Government Procurement Card for the directorate
  • Acting as Business Continuity lead for the directorate, developing and maintaining Directorate business continuity plans.

Policy support for teams:

  • Coordination of cross-cutting briefings, parliamentary question and ministerial visits.

Director Executive Assistant:

  • Managing the Directors’ diary, ensuring best use of their time. Ensuring the diary reflects their priorities, resolving conflicts in scheduling and rearranging diaries, often at short notice.
  • Supporting Directors’ inbox management, and coordinating and prioritising work autonomously. Setting up and managing knowledge information systems in line with DCMS policies. 
  • Facilitating access for visitors, including arranging security passes and accompanying visitors. 

Person specification

The ideal candidate would have the following key skills and experience:

Essential Requirements:

  • Strong IT skills.
  • High attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to deliver at pace, experience of managing a varied workload, prioritising effectively and the ability to manage multiple tasks concurrently.
  • Proactive and able to look ahead to anticipate issues
  • Ability to build and maintain excellent relationships with people at all levels across an organisation. 

Desirable Skills:

  • Previous experience of managing a complex ever-changing diary for a senior manager
  • Experience of minute taking
  • Ability to provide a coordinating function in the team to support with correspondence, briefings and arranging visits. 
  • Good knowledge of Google products (Gmail/Docs, Sheets, Slides)
