Job summary

The Business Support Officer provides day-to-day administrative support to the Bedgebury National Pinetum and Forest teams - visitor services, communications and engagement, operations, learning, tree and conservation team and the Kent and Weald Beat teams.

By joining Forestry England, you will work for the largest provider of outdoor recreation in England and a world leader in sustainable forestry and conservation.

You will play a key role in supporting teams to develop the recreational and visitor experience offer and for the teams grow income from our commercial activities. Your role will be an essential part of fulfilling the aims of Forestry England and delivering health and wellbeing for all through connection with nature in our nations forests.

Your role will be varied and fulfilling and will provide you with exposure across a variety of the work undertaken by Forestry England.

You will be expected to work flexibly as part of a multi-disciplinary team providing a wide range of specific administrative duties with colleagues who are based at Bedgebury.

The role is full-time at 37 hours per week (8:30 to 4:30 Monday to Thursday and 8:30 to 4:00 on Friday) and will be based on site at the Bedgebury Forest Office for the majority of the time with an occasional opportunity for hybrid working.

This post will report to the Bedgebury Manager.

Main Duties and Responsibilities

Administrative Support:

  • Providing comprehensive administrative support to the Bedgebury teams.
  • Organising internal and external meetings and events, including the production of reports, agendas, minutes, updating action logs as required and venue booking.
  • Dealing with stakeholder and public enquiries by email, telephone or in person.
  • Be a central contact and welcome point for visitors, external staff and suppliers.
  • Collating and organising data in an agreed format and timescale. It includes checking the accuracy of data, making appropriate adjustments and getting feedback on the data where necessary.
  • Order and issue stock and office supplies such as keys, uniform, equipment.
  • Provide additional Health & Safety support to Operations Manager including visual checks of defibrillator and assistance with fire alarm drills.

Financial Support:

  • Providing support and information to aid effective management of budgets, following direction from site budget holders (training will be provided on Forestry Englands finance systems).
  • Placing and/or ordering of goods or services, raising invoices, logging income and expenditure and a monthly reconciliation recreation accounts.
  • Supporting the end of year close down of accounts.

 Recreation Administration:

  • Administrating a range of activities through our Customer Relationship Management System (CRM), including volunteering and issuing permissions for a range of activities occurring in the nations forests (training will be provided on Forestry Englands finance systems).
  • Support for wider Kent and Weald Beat teams including car parking incomes. 

Person specification

Essential Professional and Technical experience:

  • Administrative experience, including developing and maintaining office procedures/systems, and handling sensitive information.
  • IT skills with experience of Microsoft Office (Word, Excel, Outlook).
  • Experience of organising meetings and producing the supporting paperwork (agendas, minutes, action logs).
  • Experience of following relevant policies and procedures to complete your work.
  • Experience of handling multiple tasks and prioritising own workload.
