Job Description

It’s an exciting time for Acas as we are halfway through delivering our 2021-25 strategy, and we continue implementing our Operating Model which has created lots of exciting opportunities for Acas to develop its services and its people.

Our dispute resolution services play a fundamental role in supporting our customers and as we shape the new Dispute Resolution Directorate, we will continue to explore how we can improve our services for our customers, our people and wider society.

The purpose of this role is to provide essential administrative support to our Planning and Performance team and to the wider Dispute Resolution Directorate.  It involves planning, organising, coordination and oversight of a range of activities which together help the team and the directorate to meet its ambitions and objectives.

The role is key to the success of the directorate. It will shape team processes and improvements to ways of working and it will support strong stakeholder relationships. It will provide a range of data, insight and practical help to the service heads and the director.

This role is key to directorate staff engagement, communication and governance. It will plan and organise a range of meetings across the directorate, including agenda planning and also note or minute taking when needed.  It will also support good project and change management practice in the team and the directorate.

Job description

  • Administration - You will provide a diverse range of administrative support to the Planning & Performance Manager.
  • Stakeholder Relationships - You will build effective relationships with internal colleagues across Dispute Resolution and the wider organisation to collate and share information that contributes to supporting service improvements.
  • Document Control - Ensuring an efficient system is in place for storing and sharing Dispute Resolution key documents such as business planning and business continuity planning and appropriate access and version controls are managed.
  • Reporting - You will collate and organisation performance information and supporting the tracking and reporting of KPI’s to provide reports and service data that is informative and aids decision making.
  • Budget and Finance Support - Oversee and coordinate the Directorate Budgets (including monitoring T&S, budget codes, etc) Coordination and maintenance of records and collaborating with colleagues in Finance & Governance and providing guidance for Dispute Resolution colleagues on function specific financial activities and process e.g. DR cost codes.
  • Project Admin Support - Providing admin support for service projects, you will help to coordinate activities, support on planning and tracking and collating information and provide support on resource planning for the function.
  • Business Planning - Supporting the annual business planning process and monitoring and reporting of progress against the plan.
  • Learning and Development support - Administrative support to the learning and development activity within the directorate.
  • Engagement and communications - Working with colleagues to plan and organise internal directorate engagement and comms meetings, including agenda planning and also note or minute taking when needed.
  • Change and Improvement - Identification and implementation of administrative and process improvement across the directorate.

Experience

Essential Criteria:

  • You will be a highly organised individual and demonstrate this through all your ways of working to ensure your time is used effectively to manage a busy workload and support with planning and reporting activity
  • You will be proactive and resilient, using your initiative and problem solving skills to get effective outcomes across varied work tasks.
  • You will have strong written and verbal communication skills, and have experience in creating different types of documents, e.g. drafting agendas, taking minutes, recording actions, creating summary and performance reports
  • You will have experience in working with different types of data
  • Proficient in using Microsoft Office applications including Word, Excel, SharePoint, Outlook and MS Teams and understand principles of good document management.
