This is an exciting opportunity to join our public sector design studio, working on a broad range of projects that make a difference to people’s lives.

We are looking for an experienced Traffic Manager to support our traffic and resource capability. You will manage the flow of creative work across the whole agency to ensure all work is completed on time, on budget and to the highest possible creative standards. You will also support with financial administrative tasks, ensuring the agency runs efficiently and effectively. If you are diligent, organised and proactive, this is the role for you.

Your main responsibilities will include:

  • scheduling work into the studio using the project management system and allocation spreadsheet, ensuring appropriate hours are scheduled and capacity is flagged to the client services team
  • working with the Resource Manager to prioritise work going through the agency, escalating decisions to relevant stakeholders
  • liaise with multiple teams to forecast and plan projects, manage capacity, allocate creatives based on skillset, and advise on freelance requirements
  • monitoring and managing the Design102 email accounts, working with clients, the client services team and design managers to discuss the business objectives and requirements of each request
  • line management of a traffic assistant
  • recording third-party spend on our project management system and ensuring third-party expenses are billed correctly back to the client in a timely manner
  • providing reports to the client services team and management as requested regarding client jobs and spend
  • working with the client services team and clients to ensure purchase orders are in place at the beginning of the project once it is signed off
  • managing Design102 finances, invoicing and intercompany journals
  • chasing and resolving Design102 rejected invoices and aged debt as required for the Ministry of Justice financial accounts team
  • working with the client services team to contact clients and ensure invoices have been paid
  • ensuring our third-party services are used correctly and efficiently
  • managing the creation and closure of all jobs on our project management system, ensuring timely billing and using correct details for invoicing purposes 

It’s essential that you have:

  • good people management and leadership skills – you must be able to manage, motivate, mentor and deliver effectively through others
  • excellent traffic management skills using an online system
  • strong numeracy and Excel skills
  • the ability to multitask and adapt quickly to frequently changing schedules and deadlines
  • excellent communication skills
  • good commercial awareness to monitor cost effectiveness of in-house service delivery
  • knowledge of creative and design processes within an agency background
