The main purpose of this role is to oversee and provide professional administrative and operational support to a team of Senior Managers, assisting them in prioritizing delivery of targets and managing workflows via planning and diary structure.

You will provide direction to Coordinators within the Operations Support Team and provide support to the Operations Support Manager, acting as Deputy. Provide support to Operations Support Manager as required and act as deputy – this could involve holding 121 meetings, leading team huddles, location visits and cascading communications to the wider team.

What you’ll be doing:

  • Providing oversight, decision making and co-ordination of manager support aspects of the OST function.
  • Providing support to Operations Support Manager as required and acting as deputy – including holding 121 meetings, leading team huddles, location visits and cascading communications to the wider team.
  • Developing a strategic awareness of the business issues and challenges within the specialism by working closely with the relevant stakeholders.
  • Building and strengthening working relationships with field managers and OST to become a key enabler of efficient processes and procedures across the specialism and OST team.
  • Arranging and delivering regular meetings for the Coordinators within your specialism to provide updates, review workloads, share best practice and strengthen relationships, providing training to newer members of the team.
  • Developing and reviewing processes and ways of working to improve efficiency and adapt to business needs.

We are looking for an experienced Coordinator/Administrator with:

  • Strong diary management and prioritisation skills, including complex scheduling to create efficiencies and avoid clashes.
  • Strong IT capability in Microsoft Office: Word, Excel & PowerPoint, etc with the ability to be able to assist and utilise MI data to provide relevant reports
  • Excellent written and verbal communication skills, appropriate to all levels and strong listening skills.
  • A varied and extensive knowledge of how all the different roles operate within the Location.
  • Willingness to make own decisions on prioritising workload and taking ownership of own tasks.
  • Responsibility for maintaining the image of the SJP brand and an understanding of handling sensitive/confidential information/issues and when to escalate.

Special Requirements

  • Occasional travel or overnight stays may be required to attend workshops or support events.
